Description:

Duties and responsibilities To assist the Principal Commercial Officer, Communication Systems SBU, and the Customer Support Manager in the administration of quotations, orders, and sales from receipt of the initial enquiry through order acquisition, until receipt of the customers payment, including: * Loading and maintaining a significant number of Customers spares and repairs orders on the companys computerised MRP system * Preparing spares and repairs quotations for submission to customers including liaison with other departments within Ultra to ensure compliance with Customers enquiry * Maintaining regular contact (by telephone, e-mail, or in writing) with customers and suppliers on all commercial issues, including delivery status * Preparing and submitting sales invoices * Preparing regular management reports on the status of orders * Attending meetings with customers and sub-contractors/suppliers on an as required basis * Providing general clerical assistance in the Business Unit and Customer Support department. Knowledge, Skills and Experience Required: * Contract Administration Experience required of administering multiple contracts from receipt by the company through to final shipment and payment. Responsibilities include a considerable amount of order processing, obtaining suitable order amendments as appropriate, raising sales invoices, and organising shipments to both UK and export destinations. Full on the job training will be provided. * Qualifications 1) Previous administration experience acquired within a Sales, Marketing, Contracts, or Commercial Department preferred 2) Educated to at least A Level or equivalent required 3) Ability to communicate and work efficiently in a busy office environment 4) Working knowledge of Word 2000 and Excel 5) Previous experience of MRP systems would be beneficial 6) Working knowledge of e-mail.
