Key priorities of the position include:-Efficiently responding to and managing incoming telephone calls for the Director and team (including queries) (suppliers, external departments etc)Diary Management oLiaising with PAs in the business to set up meetings for the Marketing Director with other senior managersoInputting key dates and deadlines for individual projects to ensure all relevant parties awareProcessing invoices for payment, cross checking and recording on appropriate spreadsheet for E-commerce Organising hotels, flights and travel details for Director and team as requiredConfirming itineraries and materials as necessary for travel Logging, recording and processing expenses for the team, monitoring costsCommunicating with relevant internal departments including press, franchise, visual merch and property teamsCo-ordination and collation of information and reports for the DirectorEstablishing and maintaining an effective administration system to reply to correspondence (both post and email).Stationary ordering, Filing, photocopying, faxing etcSuitable candidates should demonstrate the following:-A solid background as an administrator/co-ordinator who has also held responsibility for secretarial type duties (Essential)Experience of working at management level and of working with a very busy team, in a retail HO (the latter would be an advantage)Proficiency in Excel, Word, Powerpoint and other relevant softwareAbility to plan, organise and review activities to meet deadlines, re-prioritising when necessaryAbility to communicate effectively with the team and senior management when necessaryExcellent problem solving skills, remaining calm in demanding and pressurised situationsA positive outlook to changing requirementsThe ideal candidate will have solid knowledge of CRM reporting and analysis.Please e-mail your updated CV to lindy.roberts@huntress.co.uk or call me on 020 8748 7000 for more details. |
