Description:

Our client, one of the top ten chartered accountancy firms, is seeking a Super PA to support 3 of the companys partners.They are looking for a highly competent individual to manage the activities of the Partners in the Financial Markets Group (FMG) and to ensure the highest standards of service are provided to both internal and external clientsMAIN RESPONSIBILITIESBuilding a strong working relationship with clients, dealing with clients telephone enquiries and ensuring that messages are taken clearly and efficiently, and responding to in a timely fashionScreen incoming telephone calls, post and email, making necessary arrangements and booking appointments, drafting responses and re-directing responses and re-directing correspondence and callersDrafting simple or routine correspondence in response to queriesTyping and monitoring general correspondence including reports, proposals and emailsCorrect/proofread/print documents ready for signatureMinute taking where necessaryProviding excellent diary management, being aware of Partner movements and whereabouts to organise necessary travel and accommodation arrangementsCo-ordinate meetings, lunches and functions by actively arranging venue/catering when necessaryInform reception of visitors and greet visitorsMaintaining up to date and accurate database management, reviewing where necessary improvementsCreating new clients on PMS systems and ensuring all procedures are followedGenerate client invoices ad reportsInputting own timesheets and Partners where necessaryUndertaking conflict checks and research on clientsMonitor, review and update FMG administrative proceduresAnticipate the needs of PartnersOther general ad hoc workPERSON SPECIFICATIONAcademic and Professional Requirements:MS Office (Word, PowerPoint and Excel) Intermediate/advanced levelLotus Notes (advantageous but not essential)Typing speed 50wpm (audio and written)3-5 years experience proven experience working at Partner/Manager level in a professional sales/client environmentExcellent organisational, administrative and analytical skills Demonstrates confidentiality and diplomacy Excellent interpersonal skills and the ability to liaise with people at all levelsA keen eye for detail especially when working under pressureDisplays an understanding of the department and the firmHuntress operate as both an employment business and an agency
