Legal PA Personal Assistant / Secretary

My client, An established and leading law firm based in the centre of Manchester was currently seeking an experienced Legal Secretary / PA to join their commercial property team.
Duties will include:
Managing audio typing, drafting correspondence, producing documents/letters/e-mails and memos Liaising with clients, handling telephone calls taking accurate messages and passing them on promptly, assisting and answering any non-legal queries if possible, taking ownership of queries and ensuring the client receives a satisfactory response at all times Arranging meetings and appointments for lawyers, both internally and externally, ensuring the diary was up to date and holds all the necessary information in relation to the appointment including taking the full responsibility for booking meeting rooms and arranging for necessary equipment and refreshments Proactive advance monitoring of lawyers' diaries, including forward booking of travel, reminding lawyers of diary commitments and taking the full responsibility for ensuring all supporting paperwork and necessary information was provided Making travel and accommodation arrangements using online tools, keeping lawyers advised of any changes in scheduling and ensuring they have an accurate and up to date itinerary and relevant travel details are in their Outlook calendar Undertaking research on clients, potential clients and new business initiatives or opportunities, including putting together briefing packs as and when required Collating information for preparation of bids, tenders or proposal documents and preparing the first draft of documentation Managing production of large documents (produced in-house and externally) during the negotiation of a transaction, co-ordinating changes made to those documents by the legal team and client teams including taking the full responsibility for the consistency of those documents throughout the transaction (eg formatting, numbering, Compare Docs etc) Opening client files, including completing conflict searches and money laundering checks, taking the full responsibility for the organising and preparation of client engagement letters, collating all the relevant information required and maintaining these client files on a day to day basis Preparing presentation slides and materials for internal/external meetings and conferences Preparation and submission of monthly expenses Assisting with the billing process, agreeing in advance dates for billing, requesting prebills, drafting narratives and covering letters .

1. Your job duties will include being responsible for providing strong PA support to a team of busy Fee Earners within the commercial property department, therefore experience of working as a Legal PA/Secretary within commercial property was required.
